{"id":605,"date":"2020-05-21T23:41:46","date_gmt":"2020-05-21T11:41:46","guid":{"rendered":"https:\/\/www.jgi.geek.nz\/?p=605"},"modified":"2020-12-17T20:09:27","modified_gmt":"2020-12-17T07:09:27","slug":"create-a-simple-covid-19-contact-tracing-register-for-your-school","status":"publish","type":"post","link":"https:\/\/www.jgi.geek.nz\/?p=605","title":{"rendered":"Forms: Create a simple COVID-19 contact tracing register for your school"},"content":{"rendered":"\n<p>At school we have a dedicated tablet for visitors with the <a href=\"https:\/\/www.vistab.co.nz\/\" target=\"_blank\" rel=\"noreferrer noopener\">Vistab<\/a> software &#8211; a fantastic visitor management tool.&nbsp;We asked, they kindly obliged, if the COVID-19 contact tracing questions could be added to their software.<\/p>\n\n\n\n<p>In order to capture this they reset all visitor and contractor information so as to make each one a \u2018new person\u2019 for their next sign in event (this is to capture the required information for Level 2 lock down).&nbsp;<\/p>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"alignright is-resized\"><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/sdk.bitmoji.com\/render\/panel\/347c61fa-c3da-41ba-879e-5ed7a717685c-43db73bc-4189-49ef-ae7c-b78dd444243b-v1.png?transparent=1&amp;palette=1\" alt=\"Bitmoji Image\" width=\"188\" height=\"188\"\/><\/figure><\/div>\n\n\n\n<p>It worked really well while it was just staff onsite. However, on Monday, when school reopened it was a different story. It was painful to watch, and it took everyone a long time to sign in. Meaning we had a real problem with a bottleneck of people trying to sign in, both parents &amp; staff at the office. Right where we didn\u2019t want it. <\/p>\n\n\n\n<p>Safe physical distancing became a nightmare as most parents needed help navigating the screens.<\/p>\n\n\n\n<p>So, I had to come up with a solution, fast.<\/p>\n\n\n\n<p><\/p>\n\n\n\n<div class=\"wp-block-media-text alignwide is-stacked-on-mobile\" style=\"grid-template-columns:19% auto\"><figure class=\"wp-block-media-text__media\"><img loading=\"lazy\" decoding=\"async\" width=\"195\" height=\"202\" src=\"https:\/\/www.jgi.geek.nz\/wp-content\/uploads\/2020\/05\/image-4.png\" alt=\"\" class=\"wp-image-611\"\/><\/figure><div class=\"wp-block-media-text__content\">\n<p class=\"has-medium-font-size\">Below is a simple workflow using Google Forms, Sheets &amp; Docs to create a simple QR code.<\/p>\n<\/div><\/div>\n\n\n\n<p>Note we are using this just for parents, we already have their contact details stored in our student management system.<\/p>\n\n\n\n<p>The form asks for their email for both sign &amp; sign out, this is in order to be able match their data (each time a form is submitted it creates a new line in the response sheet) if you want to use a vlookup formula, or similar, to take it one step further and analyse how long someone was onsite there must be at least one cell with the same data to use for matching functions.<\/p>\n\n\n\n<p><strong>Pros <\/strong>&#8211; it is really fast.<\/p>\n\n\n\n<p><strong>Cons<\/strong> <\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>it is dependent on the parent having their phone (and data)<\/li><li>iPhone and some later model Android phones can use the camera which recognises the QR code, otherwise a QR\/barcode scanner app is required. In saying that QR codes are popping up everywhere &amp; having an app will just become normal.<\/li><\/ul>\n\n\n\n<h4 class=\"wp-block-heading\"><strong>Instructions:<\/strong><\/h4>\n\n\n\n<ul class=\"wp-block-list\"><li>Make a copy of the form and the response sheet (the sheet has the QR code formula in it), links at the bottom of this post.<\/li><li>Open the form and choose SEND<\/li><li>Select the &#8216;Link&#8217; icon<\/li><li>Shorten &amp; Copy the URL code<\/li><\/ul>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"aligncenter is-resized\"><img decoding=\"async\" src=\"https:\/\/lh4.googleusercontent.com\/5eMSHqx1x-ffM_6UJ-Ak22_dS8ypZoOS906xR2VffDDRaI505irag5sHk8R-a49LZ6HMbbXf5Od3dENsdGoSgOgQlTAkRvMCOlMm0kBYHPRV0tGtQh3G-Xfwtor6LLRscHQFjmmJ\" alt=\"\" width=\"630\"\/><\/figure><\/div>\n\n\n\n<ul class=\"wp-block-list\"><li>Paste the copied shortened form URL into cell <strong>A1<\/strong> on the QR code tab in the response sheet. To prevent any glitches when you copy the QR code to the poster I suggest taking a screenshot (use the PC snipping tool or CMD 4 on a Mac) and paste it back as a static image into the sheet (In my example I&#8217;ve used cell <strong>C5<\/strong>)<\/li><li>Associate the form with the sheet&nbsp;<\/li><\/ul>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"aligncenter is-resized\"><img decoding=\"async\" src=\"https:\/\/lh5.googleusercontent.com\/KqP1rMZ6qqIrcFYAJFqqc3jvcca8UprcI6FglmQ7fxq1VXaFiP9x26fAxwdiu3CC4lQjnkCFFwLLXTxy4g43z3tp8Jfo0XPzOQKwMlXJVk8YcMhGjTKKphAFn4MSNfNfAEL_NKNN\" alt=\"\" width=\"630\"\/><\/figure><\/div>\n\n\n\n<ul class=\"wp-block-list\"><li>Navigate to the sheet in your drive. (It will create a new tab called Form Responses 2, but that doesn&#8217;t matter)&nbsp;&nbsp;<\/li><\/ul>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"aligncenter is-resized\"><img decoding=\"async\" src=\"https:\/\/lh3.googleusercontent.com\/tPw16pk8ep5UDz4CaSPK009QDOhE4lDn3sqRovV9g6NWGYsX4ONRUbqIOEbmHPXl6WQsuxvl-WOAhBuYz_KFUO_1i1YDJvYbko6Zst58QmRfrUrrneWCaIB0Wid-L_pW1k74Qsrp\" alt=\"\" width=\"630\"\/><\/figure><\/div>\n\n\n\n<ul class=\"wp-block-list\"><li>Add any other questions you need.
